Job Profile
- Computer-Aided Design (CAD):
- Assist in creating, editing, and managing CAD drawings or schematics as needed to support operational or project-specific requirements.
- Collaborate with engineering or design teams to ensure CAD outputs align with operational goals.
- Maintain organized CAD file systems for easy access and retrieval.
- Documentation Control:
- Develop and maintain a robust documentation control system to organize, store, and track operational documents, policies, and procedures.
- Ensure all documentation is up-to-date, accurate, and compliant with organizational standards.
- Facilitate version control and secure storage of critical documents.
- Inter-department Coordination:
- Act as a liaison between the COO and various departments to ensure effective communication and alignment on priorities.
- Coordinate cross-functional projects, meetings, and initiatives to support operational objectives.
- Track project milestones and deliverables, providing updates to the COO and relevant stakeholders.
- Operational Support:
- Assist in preparing for executive meetings, including agenda creation, minute-taking, and follow-up on action items.
- Conduct research and compile data to support decision-making and strategic planning.
- Streamline workflows and processes to enhance operational efficiency.
- Administrative Support:
- Manage the COO’s calendar, scheduling meetings, appointments, and travel arrangements.
- Prepare, edit, and distribute reports, presentations, and correspondence using MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Maintain confidentiality of sensitive information and exercise discretion in all interactions.
Job Specification
Qualification:
- Bachelor’s degree in science or engineering preferred, along with certification in Business Administration, Operations Management.
Experience Required:
- Minimum 5 years of experience in an administrative or operational support role, preferably supporting CXOs/C-level executives.
- Familiarity with project management tools (e.g. Microsoft Project).
- Knowledge of operational processes and workflows in a corporate setting
Technical Proficiencies:
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficiency in Computer-Aided Design (CAD) software (e.g., AutoCAD, SolidWorks, or similar).
- Experience with documentation control systems or software (e.g., SharePoint, DocuWare).
- Exceptional organizational and time-management skills with a proven ability to prioritize tasks.
- Strong communication and interpersonal skills to facilitate inter-department coordination.
- Detail-oriented with a high degree of accuracy in managing documents and data.
- Ability to work independently, handle confidential information, and thrive in a fast-paced environment.
Work Environment:
- Mostly Office-based with occasional travel for sites, meetings or company events.
